Contesimal: Shared Notes on Lists

Modified on Thu, 5 Feb at 2:46 AM

Description

Shared Notes on Lists in Contesimal lets people with shared access to a project view and work with notations (comments/notes) on list items in that project's lists. When a project is shared with you, you get access to any Lists in that project and to all notes added to those lists—by the project owner, you, or other collaborators. You can view all notes on any list item (snippets, chat messages, articles, keyword search items), add new notes, edit and delete only your own notes, and add reactions (e.g., emoji) to any note—yours or others'. You cannot edit or delete notes added by the project owner or other users; you can only react to them. This feature keeps list-based discussion in one place while making permissions clear: everyone sees the full thread, and each person manages only their own notes while reacting to any note.

How This Feature Helps You

  • View all notes — In a shared project, open the Lists tab and open any list (e.g., A little girl, Shared). Click any list item (e.g., a Snippet or Chat Message) to open its detail pop-up. You see all notations on that item: from the project owner, you (marked (you)), and other collaborators. Each note shows avatar, name (e.g., Alexander (you), Dmitry Spirin), timestamp (e.g., 11:41 AM, Today at 12:38 PM), and comment text. The pop-up may show N Notations (e.g., 1 Notations, 2 Notations) at the top.
  • Add notes — At the bottom of the pop-up, use the Add comment field and paper airplane (send) icon to add a new notation. Your note is saved and visible to the project owner and other collaborators. Your notation appears with your name, (you), and the current timestamp.
  • Edit and delete own notes — You can edit (pencil icon) and delete (trash can icon) only notations you added. Your own notes show the pencil and trash can icons when you hover or click. Notes from the project owner or other users do not show edit or delete options for you—you cannot change or remove their notes.
  • Add reaction (all notes) — You can add a reaction (e.g., emoji) to any notation—yours or others'. Use Add reaction... or the smiley face icon next to any note; pick an emoji (e.g., thumbs up, heart). Reactions give quick feedback without writing another comment and work on every note in the thread.

Benefits

  • Shared discussion — Everyone with access to the shared project sees the same notation thread on each list item, so context and feedback stay in one place.
  • Clear permissions — You manage only your own notes (add, edit, delete); you cannot edit or delete others' notes, which keeps the thread safe and predictable.
  • React to any note — Add reactions to your own or others' notes so you can give quick feedback (e.g., thumbs up, heart) without adding another comment.
  • Same UI as your own lists — The pop-up (Snippet, Chat Message, Article, Keyword Item) and Add comment / notation history work the same way as in User Notations on Lists and Snippets; the only difference is the shared project context and who can edit/delete what.

Step-by-Step:

The step-by-step instructions, screen descriptions, and UI details in this section are examples only. They are intended to help you understand how the feature works and how to complete the flow. Screens, labels, and layout may change in future product updates.

1. Open a Shared Project and Go to Lists

  • Log in to your Contesimal account
  • In the left panel, go to Projects (under your library, e.g., Dmitry Spirin's Library or My Library). Ensure the Projects tab is selected
  • Find a project that was shared with you—it is marked with the shared-project icon (e.g., two person silhouettes) next to the project name
  • Open the shared project (click the project name)
  • Select the Lists tab (e.g., next to Projects and Library). The Lists tab is highlighted (e.g., with a red underline) when active
  • You see the LISTS section: Search lists, a + button if your role allows it, and a list of lists (e.g., Shared, A little girl). Each list may show Created: date and icons for notations (e.g., thought bubble with number) and items (e.g., stack of papers with number)
  • You now have access to view and add notes on list items in these shared lists

2. Open a List and Click a List Item to View All Notes

  • In the Lists tab, click a list name (e.g., A little girl, Shared) to open it
  • The list view opens with a back or list title (e.g., < A little girl), Search items in list, and list items (cards with scissors icon for snippets, comment bubble for chat messages, etc.)
  • Click any list item (e.g., a Snippet or Chat Message) to open its detail pop-up (modal)
  • The pop-up opens with: Header — Title (e.g., Snippet with scissors icon, Chat Message) and X to close; Item content — The main content (e.g., snippet text with wavy purple lines, or chat message summary); Notations summary — N Notations (e.g., 1 Notations, 2 Notations) and your avatar/initials (e.g., AK, You); Notation history — A chronological list of all notes on this item: each note shows avatar (e.g., AK, DS), name (e.g., Alexander (you), Dmitry Spirin), timestamp (e.g., 11:41 AM, 12:36 PM, Today at 12:38 PM), and comment text (e.g., Test, Great snippet, Adding a notation by shared user)
  • Your notes are marked with (you) so you can see which ones you can edit and delete. Notes from the project owner or other users appear without (you) and do not show edit/delete options for you
  • You can scroll through the notation history to read all notes

3. Add a Note

  • At the bottom of the pop-up, you see the Add comment area: your avatar on the left, an input field with placeholder Add comment, and a paper airplane (send) icon on the right
  • Type your comment or notation (e.g., Adding a notation by shared user, Great snippet, Use for intro)
  • Click the paper airplane icon (or press Enter, if supported) to send the notation
  • Your notation is saved and appears in the notation history above with your name, (you), and the current timestamp (e.g., Today at 12:38 PM, 12:39 PM)
  • The notation count at the top updates (e.g., 1 Notations -> 2 Notations)
  • Your note is visible to the project owner and all other collaborators with access to the shared project

4. Edit or Delete Your Own Notes

  • In the same pop-up, find your own notation (the one with (you) next to your name)
  • Hover over or click your notation. You see interaction options: Edit — Pencil icon. Click it to change the comment text; save or confirm when done. Your edit is reflected in the notation history; Delete — Trash can icon. Click it and confirm if prompted; your notation is removed from the item. The notation count updates
  • You cannot edit or delete notes added by the project owner or other users. Those notes do not show the pencil or trash can icon for you. If you don't see edit/delete on a note, it was added by someone else

5. Add a Reaction to Any Note

  • For any notation in the thread—yours or others'—you can add a reaction (e.g., emoji)
  • Hover over or click the notation. You see Add reaction... or a smiley face icon. There may also be an Add reaction... button above the comment section (e.g., Today at 11:41 AM bar)
  • Click Add reaction... or the smiley face icon next to the note you want to react to
  • A reaction picker (e.g., emoji list) may appear; choose an emoji (e.g., thumbs up, heart)
  • Your reaction is added to that notation. You can add reactions to your own notes and to others' notes—reactions are allowed on all notes in the shared list item

Troubleshooting Guide

A. I Don't See Lists or Notes in the Shared Project

  • Issue: You opened a project shared with you but don't see the Lists tab, any lists, or notes on list items.
  • Fix:
    • Confirm you opened the shared project (click the project name in Projects; the project should show the shared-project icon)
    • Check that you are in the Lists tab (next to Projects and Library); click Lists if it's not selected
    • Open a list (click a list name) and then click a list item (e.g., Snippet, Chat Message) to open the detail pop-up. Notes appear inside the pop-up under N Notations
    • The list item may have no notes yet (0 Notations); you can be the first to add one
    • Refresh the page and open the shared project, list, and item again
    • If you still don't see lists or the pop-up, your access may not include list visibility; contact the project owner or Support

B. I Can't Add a Note (Add Comment Doesn't Send)

  • Issue: You type in Add comment and click the paper airplane but the note doesn't appear in the thread.
  • Fix:
    • Ensure you entered some text in the Add comment field before sending; empty comments may not be saved
    • Click the paper airplane icon again after ensuring the field has text
    • Check your permission in the shared project; some roles may be view-only and cannot add notations
    • Check your network connection; a failed request can prevent saving
    • Refresh the page and open the list item again; try adding the note again
    • If sending consistently fails, see User Notations on Lists and Snippets troubleshooting or contact Support

C. I Don't See Edit or Delete on My Note

  • Issue: You added a note but don't see the pencil (edit) or trash can (delete) icon on it.
  • Fix:
    • Your notes are marked with (you) next to your name. Only those notes show edit and delete for you
    • Hover over or click your notation; the pencil and trash can icons may appear on hover in some UIs
    • Confirm you are looking at your own notation (same user/avatar as the one at the bottom Add comment area). Notes from the project owner or other users do not show edit/delete for you—that is expected
    • Refresh the page and open the list item again; check if the icons appear on your note
    • If you are sure it's your note and the icons still don't appear, try a different browser or contact Support

D. I Can't Edit or Delete Someone Else's Note

  • Issue: You want to change or remove a note from the project owner or another user but don't see edit/delete, or you get an error.
  • Fix:
    • By design, you can only edit and delete your own notes. Notes from the project owner or other collaborators do not show the pencil or trash can for you, and you cannot remove or change them
    • If you need a note changed or removed, ask the person who wrote it or the project owner to edit or delete it
    • If you believe you have owner-level permissions and still cannot edit/delete a note, contact Support with your role and the list/item context

E. Add Reaction Doesn't Work or I Don't See It

  • Issue: You want to add a reaction to a note but don't see Add reaction... or the smiley icon, or clicking it doesn't work.
  • Fix:
    • Reactions are available on all notes (yours and others'). Look for Add reaction... or the smiley face icon next to the notation, or an Add reaction... button above the comment section (e.g., near Today at 11:41 AM)
    • Hover over or click the note to reveal the reaction option if the UI shows it on hover
    • Click Add reaction... or the smiley icon and choose an emoji from the picker if it appears
    • Refresh the page and try again; check your network connection if the reaction doesn't save
    • If the option never appears, contact Support with your role and what you see in the pop-up

F. Notes Look Different or Pop-Up Doesn't Open

  • Issue: The notation thread, pop-up title (Snippet, Chat Message), or Add comment area looks different or the pop-up doesn't open when you click a list item.
  • Fix:
    • Ensure you clicked the list item (e.g., the snippet or chat message card) and not the list name or another element
    • Confirm you are in the shared project context and have opened a list from that project
    • Product updates may change layout or labels; compare with User Notations on Lists and Snippets for the standard flow
    • Refresh the page and open the list and item again
    • If the pop-up consistently doesn't open, try a different browser or contact Support with what you see
